Do not evaluate an integration by its logo alone. Test field mapping, duplicate contacts, retries, ownership, and incorrect action-item assignment inside the actual CRM.

Otter: live transcription and searchable memory

Otter’s free tier includes a limited monthly transcription allowance. Paid tiers expand minutes, imports, meeting duration, search, export, and team administration. It fits organizations that want meetings to become searchable knowledge, not merely one-off summaries.

Procurement should inspect concurrent meeting limits, audio/video retention, custom vocabulary, SSO/SCIM, deletion, and how former employees’ recordings are handled.

Consent and retention come first

Recording laws vary, and company policy may be stricter than local law. A conservative policy is to disclose the notetaker in the invitation and at the start, provide a genuine opt-out, disable it by default for HR, legal, M&A, healthcare, and unreleased financial discussions, and set a documented retention period.

A generic recording icon does not guarantee that participants understand their audio will be transcribed, summarized, and made searchable. Explain the purpose in plain language.
